Office Manager
Reports to: Deputy Director

Retreat Farm, Ltd. seeks a highly organized Office Manager to help maintain and build and maintain the Farm’s administrative and operational systems. The Office Manager will be vital in Retreat Farm’s day-to-day operations. They will be responsible for overall office management, limited financial data management, and related reporting. Due to the interpersonal nature of this position, the Office Manager needs to be someone with excellent communication skills (verbal and written) who can be responsive to the needs of the organization and administrative team. The Office Manager also serves as a key connection point to the public and needs to be engaging, professional, and self-motivated.
The Office Manager reports to the Deputy Director and works closely with the Executive Director, Managing Director of Finance & Communications, and other management staff. This position is an FLSA non-exempt, part-time role (approximately 20 hours per week) at Retreat Farm. This position requires onsite presence and does not have remote/hybrid opportunities.
Reporting
The Office Manager reports to the Deputy Director and helps support the Executive Director, Managing Director of Communications & Finance, and other management staff as needed.
Responsibilities
- Greet visitors and answer the office phone, taking messages and distributing information appropriately
- Monitor and respond to the Retreat Farm general email accounts
- Develop systems to ensure the administrative office is organized and tidy
- Process mail daily
- Coordinate supply orders with the management team and ensure supplies are appropriately stocked and tracked
- Maintain CRM database (Salesforce), update contacts, and run reports as needed, working with the Administrative Coordinator to ensure accuracy of records and support data management
- Manage digital (Google Drive) and physical files, organizing, filing, and updating as new files are available. Responsibilities include ensuring documents related to internal policies and procedures are filed on time and appropriately (e.g., contracts and invoices)
- Ensure website and community calendars are up-to-date and accurate
- Provide direct support to the Deputy Director and Executive Director, including calendar management and meeting facilitation as requested
- Manage shared calendars and capture meeting minutes as needed
- Provide on-the-ground support for events and meetings as needed

- Has meticulous attention to detail and responds quickly to the needs of the staff and the public
- Skillfully navigates Google Suite
- Skillfully navigates Salesforce, Mailchimp, or similar data and customer relationship management platforms
- Is a clear communicator who is collaborative, listens well, distills information, and makes thoughtful recommendations
- Is committed to helping build and contribute to a cohesive team
Benefits
$22-24/hr plus sick leave, paid time off, and eligibility for a retirement plan with a 3% employer match

Retreat Farm is an essential Vermont place where people of all ages come to learn, gather, and connect with the natural world through a variety of public programs. Established in 1837, the original Retreat Farm was a working and therapeutic farm serving patients at the nearby Brattleboro Retreat.
