Finance & Operations Manager @ VBSR

VBSR’s Finance & Operations Manager plays an essential role in advancing our organization’s mission by managing our financial and operations systems.

Position: Permanent, Full-Time, Salaried, Exempt; Reports to Executive Director

Locations: Remote plus regular in-person business in Burlington, Vermont

Salary: $55,000 – 65,000, commensurate with experience

VBSR’s Finance & Operations Manager plays an essential role in advancing our organization’s mission by managing our financial and operations systems. This position is responsible for VBSR’s bookkeeping, ensuring timely payment on our financial obligations, and supporting VBSR staff with being the most supported, effective, and efficient team possible, including HR benefits administration, operations support for virtual work, and managing contracted services.

Finance Management:

  • Balance and maintain accurate ledgers and record all financial data.
  • Produce and distribute all accounts receivable and accounts payable.
  • Prepare bi-weekly payroll and coordinate payment with Assure Payroll.
  • Receive, record and deposit cash, checks and vouchers; reconcile bank accounts.
  • Coordinate with Membership Manager to maintain accuracy of membership database.
  • Generate organizational, grant, and programmatic financial reports for staff and board.
  • Prepare accountant for tax preparation and ensure timely/accurate reporting.
  • Monitor income, cash flow, and expenditures in relation to projections and forecasts.
  • Support Executive Director with strategic financial analysis and budgeting.

Operations Management:

  • Administer benefits for VBSR staff, including enrollment paperwork and employee support.
  • Update, document, and distribute board/employee policies; collect and record disclosures.
  • Manage contracted and subscription services, including insurances, leases, and software.
  • Manage inventory for VBSR office supplies and equipment, making purchases as needed.
  • Manage and assess team tools and systems, making recommendations for improvement.
  • Provide registration support for VBSR events, including onsite support for monthly events.
  • Triage occasional phone inquiries to an internet-based office phone number.

Qualifications:

  • Proficiency in Microsoft Office, with a high level of proficiency in Microsoft Excel
  • Proficiency in QuickBooks or similar accounting software
  • Experience with bookkeeping, accounting and/or financial management
  • Commitment to a high level of customer service and a continuous improvement mindset
  • Dedication to VBSR’s mission

Also Desirable:

  • Experience with nonprofits

Physical Requirements:

  • VBSR does not keep a physical office. Duties will primarily be performed remotely and in-person in locations in Vermont, including weekly commutes to our post office in Burlington and weekly commutes to any of the EastRise Credit Union branches in Vermont.
  • VBSR provides standard office equipment (including a computer and printer) and supplies as well as reimbursement for remote work expenses (phone and internet).
  • Evening work may occasionally be required in order to attend events.
  • This position requires working with a computer for long periods of time.
