Adaptiva HR is helping a special organization, The Stone Trust, find a dynamic Workshop Coordinator!

The Stone Trust is growing! We look forward to welcoming to our staff a dynamic and detail-oriented professional who cares deeply about collaborating with others to support the development of our capacity to teach people what they want to know: how to build with stone to preserve local heritage and to build sustainability into contemporary infrastructure. The dry stonework training we provide also supports people in creating viable livelihoods to support themselves, their families, and their communities. The Workshop Coordinator role provides essential administrative and participant liaison support for the growth of the organization.

You might think that the practice of stone walling is lost in today’s fast-paced, technology-driven world. It is very much alive and well! We are committed to preserving this craft and sharing it with more and more individuals every year. Created in 2010, the Stone Trust provides education and training to hardscape and landscape professionals, homeowners, and stone work enthusiasts through an annual schedule of engaging workshops at our center (located at Scott Farm in Dummerston, Vermont) and around the country. The Workshop Coordinator is a 20-30 hour/week position. will report to the Executive Director and will collaborate with the Administrative Specialist, Communications Manager, and contracted Wallers with instructional expertise. They ensure there is a smooth experience from beginning to end for workshop participants and instructors.

The Workshop Coordinator:

  • makes it possible for Stone Trust constituents to easily register for training and other events
  • prepares and organize engaging and easy-to-read instructional materials and distributes them to instructors
  • conducts workshop follow-up, including receiving and filing documents and photos, as well as timely post-workshop communications with participants
  • facilitates clear communication with instructors and participants.

This position requires a thoughtful professional who can attend to small details and also sees how interrelated the whole organization is. You must be able to use our existing systems and develop greater efficiencies for organizing tasks. We depend on you for tracking and reporting on the many business-related systems, and also for finding innovative ways to support our growing organization.

We have mostly transitioned back to in-person work. Our administrative office is in Brattleboro, VT and only candidates who are withing driving distance of here will be considered.

Data Management: Demonstrated experience in member management; use of a variety of AMS/CMS (membership database).

Primary Duties and Responsibilities

  • Create event registration listings in Modern Event (event registration platform), including automated confirmation and reminder emails.
  • Create captivating workshop content, including photos for digital and print publications
  • Advertise workshops in local media and with the Stone Trust’s audiences
  • Compile participant, curriculum, and co-instructor information and communicate to instructors in a timely manner.
  • Create, compile, and organize workshop registration and participant hand-outs and organize them for ease of accessibility during workshops.
  • Manage workshop registration changes, cancellations and refunds.
  • Coordinate and complete workshop follow-up, including sending thank-you messages, scanning and filing paperwork, uploading photos, drafting blog posts, and reporting any earned CEUs to professional organizations.
  • Collaborate on making revisions to curriculum with feedback from the instructors.
  • Ensure adequate and well-organized supply of workshop materials
  • Load and manage workshop trailer with supplies and participant materials.
  • Represent The Stone Trust to Scott Farm personnel and the general public


  • Experience working in dry stone with a Level One Waller certification or aspiring (i.e., making progress) to that
  • Experience managing events in any kind of venue or program Project management experience is transferable
  • Experience with payment processing systems
  • Ability to navigate, create, and maintain organization of digital files in Google Drive
  • Ability to create and edit documents in Adobe, Publisher, and similar software, including MailChimp
  • Detail oriented individual who also sees the bigger picture of the importance of events/workshops
  • Must be engaging with the public and have integrity representing us

**Will train the right person and there will be room for advancement for them if they excel in the duties of this position.**

Anticipated start date is early January 2023.

Job Type: Part-time

Salary: $27.00 per hour
