The Operations Coordinator, Sports and Programs plays a key supporting role at Special Olympics Vermont, working closely with the Program Team to perform efficient and impactful work that provides opportunities for engagement and advancement of the mission. The primary responsibility of this role is to manage tasks with accuracy and a sense of urgency. The Operations Coordinator, Sports and Programs engages in on-going data management – entry, updating, reporting and communicating to support Special Olympics Vermont’s network of athletes, families, donors, volunteers, and staff. This role provides the scaffolding upon which much of the teams’ work relies. It is a sometimes fast-moving, occasionally monotonous, often interactive and alternately individual multi-tasking role for someone who is an adaptable, proactive problem solver. This role blends work that is behind-the-scenes with some opportunities for leadership. We seek someone who can see the big picture, then identify and implement the specific steps needed to achieve goals along the way.

The Operations Coordinator, Sports and Programs is responsible for managing day-to-day tasks that drive program implementation and delivery. This position will develop constructive, collaborative relationships with co-workers and members of the broader SOVT community to support others with both recurring as well as project-based organizational work. They will also identify opportunities to improve operations and implement collaboratively derived solutions, while maintaining excellent communication with teammates along the way.

The Operations Coordinator, Sports and Programs tasks include, but are not limited to:

  • Leadership Support: Work in partnership and assist the Director of Programs and Leadership Team by completing administrative and operational duties as requested
  • Take direction from, and offer suggestions to Director of Programs and other SOVT leaders in our collective effort of continuous improvement
  • Serve as primary contact for support to constituents by managing main office phone line and email accounts
  • Oversee documentation (paperwork) process:
    • Program support: Work with Programs team to ensure that data in Games Management System is accurate and up to date
    • Data entry of all athlete registration forms; volunteer, staff and Board of Directors forms
    • Queue and follow up on background checks, including communicating with program coordinators and appropriate staff as needed
    • Assist with basic reporting for grants
  • Serve as Athletic Director:
    • Manage all assigned traditional and unified sports competitions, and UCS programming, in accordance with the standards and rules of Special Olympics Incorporated and SOVT
    • Participate as an active member of planning and running State Games and recruit, train, and direct volunteers for State Games.
    • Initiate and maintain working relationships within the local sport professional community including local athletic departments (high school, college and professional).
    • Recruit experienced and sports knowledgeable volunteers to serve as games directors for each regional competition, and manage capable, productive committees to assist with regional sports management and competitions.
    • Serve as a resource and support for regional agencies, UCS, coaches and teachers with regard to training, competition and unified sports.
    • Provide regular communication of activities and events within the region to agencies, UCS, coaches, teachers, families, volunteers and the State office.
    • Serve as administrative support to Games Planning Committee
  • Use knowledge of databases and statistics to help team members collect, report, and analyze data to inform strategic decision making.
  • Attend meetings, public speaking events, workshops, seminars, clinics, conferences and program events and serve on committees and task forces as needed.
  • Print, order, and organize any materials needed for events, presentations, competitions, and board or staff meetings
  • Occasionally assist in identifying, hiring, and overseeing office interns and athletes
  • Support Special Olympics Incorporated and Special Olympics Vermont fundraising projects, as directed.

  • High School Diploma or GED; additional education preferred


Include but are not limited to the following:

  • Long periods of sitting, standing, and moving around, depending on the day.
  • Every employee must be able to perform the duties and responsibilities of the position without posing a threat to their own health and safety or that of other individuals.
  • Assist in loading and moving various materials, around the office and a variety of event locations, sometimes into personal or other vehicles as needed.
  • Work sometimes requires occasional nights, weekends and travel. Travel by automobile to communities throughout VT for events and competitions may be required. Employees must maintain a valid VT driver’s license. Employees manage their own travel within the applicable guidelines and policies of Special Olympics Vermont and are responsible for tracking and reporting reimbursable expenses.
  • Safe driving by SOVT employees is required, including the wearing of seat belts. When driving for business purposes, SOVT employees are expected to follow motor vehicle laws of each state, including laws prohibiting the use of cell phones while driving.
