Job Summary

The Executive Assistant is a creative jack of all trades who loves data and is a whiz with Microsoft Excel. Primarily supporting the Executive Director, as well as other areas of the Clinic, this person has a generous spirit, sense of humor, and takes initiative to maintain and improve administrative processes that improve efficiency for all team members.

This person reports to the Executive Director.

Schedule, Salary and Benefits

Part-time, remote and on-site, 15-20 hours per week. Hourly salary TBD based on experience.

Must Have

  • Highly organized; attention to detail while maintaining bigger picture
  • Administrative, marketing and fundraising experience
  • Demonstrated ability with Microsoft Office applications; comfort and dexterity in learning new technologies and assisting/teaching others in their use
  • Intermediate to advanced knowledge of Mailchimp, Survey Monkey and Little Green Light
  • Elementary to intermediate knowledge of QuickBooks online
  • Ability to look beyond a specific task to the larger process, system or team
  • Ability to work independently to prioritize projects with various timelines
  • Associate’s degree or higher

Nice to Have

  • 3-5 years’ relevant experience
  • Bachelor’s degree
  • Experience with creative development tools such as Canva or Vistaprint
  • Interest in integrative care, and/or healthcare facility experience
  • Spanish language proficiency

Job Responsibilities

Data, Research and Reporting

  • Prepare reports related to donor, patient, product and other financial data
  • Research and investigate information to enable strategic decision-making by others
  • Develop surveys for staff, patient and donor outreach

Development

  • Process weekly donations and generate donor acknowledgement letters (Little Green Light)
  • Collect and maintain patient testimonials
  • Maintain accurate list of active grant applications and current grants requiring reporting
  • Support the preparation of funding proposals, e.g. gathering content and data; overseeing timelines

Marketing Communications

  • Develop collateral, e.g. engaging graphics for emails, social media posts and mailings
  • Create and disseminate email newsletters using Mailchimp
  • Create and post social media content to Facebook and LinkedIn
  • Collaborate with website designer to ensure information is always engaging and accurate

Administrative

  • Maintain shared document system in an organized, accessible fashion
  • Perform general clerical duties (scanning, copying, filing, faxing)
  • Support organizational conversion from local document server to a cloud-based system
  • Maintain accurate list of centralized account and vendor logins
  • Process weekly bills and payments
  • Maintain and update clinic signage

As Time Allows

  • Support receptionists to enable smooth and timely scheduling and check-out experience for patients
  • Support patient journey from client intake paperwork to mailing patient statements
