POSITION OVERVIEW

The Events Coordinator is responsible for implementing the plans for fundraising and athlete engagement events throughout the year.  Working collaboratively with both the Advancement Team and the Program Team, this position has the primary responsibility for executing high quality events that deliver the mission of Special Olympics Vermont to athletes and donors alike, increase organizational visibility and raise the funds necessary to do our work.  The Events Coordinator is a critical contributor to the impact of SOVT through day-to-day operations.

ESSENTIAL DUTIES & RESPONSIBILITIES

The Events Coordinator is responsible for the following with respect to SOVT events.

  • Complete and manage project plans, budgets and timelines created by Leadership
  • Organize collaboration efforts with program and advancement teams
  • Provide volunteer needs and work collaboratively on recruitment and management of volunteers for each event
  • Fundraising Platform Management; creation of event pages, content, etc.
  • Secure and managing relationship with vendors, equipment rentals, contractors
  • Secure all appropriate permits, licensing, insurance waivers, certificates of insurance, etc. prior to events, in accordance with organizational practices
  • Manage all materials and signage necessary for event production
  • Solicit budget relieving, in-kind donations related to event logistics, as directed by the Director of Development
  • Collaborate with Program, Advancement and Finance teams on event reporting
  • Complete the closure process for each event, including debrief meetings, final reports and reconciliation
  • Assist the Director of Development with identifying potential sponsor opportunities within events and ensuring that logistical deliverables for sponsors are being met
  • Additional duties as assigned

Responsible for the logistics and execution of the following events and competitions

  • Penguin Plunge
  • Law Enforcement Torch Run
  • SOVT Golf Tournaments
  • Winter, Summer, Fall, Holiday Games
  • UCS Competitions
  • Virtual Events

QUALIFICATIONS

  • Bachelor’s degree preferred
  • Excellent written and oral communication skills
  • Experience running multi-faceted fundraising events preferred
  • Volunteer management experience preferred
  • Experience in budget management and financial oversight is preferred
  • Experience working with people in a public facing capacity
  • Proficiency with Microsoft Office applications
  • Familiarity fundraising platforms such as Classy preferred
  • Genuine commitment to Special Olympics Vermont’s mission and vision

PHYSICAL DEMANDS

Include but are not limited to the following:

  • Long periods of standing, and moving around, especially while at events.
  • Work requires occasional nights, weekends and travel. Travel by automobile to communities throughout VT for events and competitions is required. Employees must maintain a valid VT driver’s license and manage travel arrangements, including overnight accommodations.
  • This requires attention to safe driving practices, including the wearing of seat belts. SOVT employees are expected to follow motor vehicle laws of each state in which they drive for business purposes, including laws prohibiting the use of cell phones while vehicle is being driven.
  • Every employee must be able to perform the duties and responsibilities of the position, without posing a threat to their own health and safety or that of other individuals.
  • Assist in loading and moving various materials, sometimes into personal vehicles or other vehicles as needed.
  • A variety of paper and electronic documents, computer work, and managing physical spaces is an integral part of this role.
