  • Work Schedule: Monday through Friday, 8:30am-5:00pm
  • Location: On site (Shelburne, VT)      
  • Pay Range: $18-$20 per hour

We offer transformative learning experiences to help educators and students create a better world.  Our home campus is a 1,400-acre working farm located on the traditional, unceded homelands—Ndakinna—of the Winooskik band of the Abenaki.

Who We’re Looking for

This position directly contributes to Shelburne Farms’ mission to inspire and cultivate learning for a sustainable future by providing administrative support to the entire Development Team.  As a nonprofit, Shelburne Farms raises funds to support annual operations, special projects related to our education programs, capital projects, and the endowment. This position supports all of these initiatives and works extensively with the Raiser’s Edge/NXT database and Excel spreadsheets, maintains integrity of donor records and database, supports gift entry, participates in monthly membership mailings, and assists with event coordination.  

 

What You’ll Do

Membership

  • Gift entry supporting Membership Coordinator
  • Generate appropriate donor acknowledgements and membership cards supporting Membership Coordinator
  • Maintain digital and paper donor files 
  • Answer membership calls and help manage and respond to donor emails
  • Process and send monthly membership renewals
  • Maintain inventory of development printed materials

Campaign Related

  • Maintain and manage campaign marketing materials and inventory
  • Support steering committee and donor meetings
  • Enter prospect information in the database

Donor Relations Support

  • Enter contact notes and actions in Raiser’s Edge and update and maintain orderly constituent records
  • Maintain matching gift company approval information supporting Membership Coordinator
  • Run donor lists for visits, reports, and prospect pool reviews 
  • Support donor communications via phone and support monitoring of the Advancement inbox
  • Create prospect profiles and or briefings

Development Events

  • Event coordination, including preparing and organizing event materials such as name tags, displays, sign in sheets, host briefings, food and beverage, etc.
  • Generate invitation mailing lists and track event RSVPs and invitation responses
  • Print, collate and send invitations that are managed in house

General Administrative

  • Excel spreadsheet cleanup in preparation for import to database or mail merge, knowledge of excel formulas is an asset for these projects
  • Support reception with incoming phone calls
  • Support a continuous effort to build and sustain a diverse and welcoming working and learning environment for all program participants, guests, and staff.

 

Core Qualifications 

Equivalent education/experience can substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. 

  • Inspired by the Farm’s mission, vision, core values and strategic plan 
  • Commitment to fostering a culturally aware learning community, open to multiple perspectives or commitment to the values of justice, equity, diversity and inclusion 
  • Two years or more of administrative support experience in a fast-paced office environment preferred
  • Proficient in Microsoft Office Suite and Google Suite, with specific experience in Excel and Google Sheets
  • Attention to detail, highly accurate and organized
  • Commitment to maintaining database integrity and constituent record health
  • Must be able to manage multiple projects with competing priorities
  • Proactive self-starter requiring minimal supervision, but also works well on a team
  • Excellent verbal and written communication skills
  • Strong interpersonal and relationship-building skills, flexibility, resilience, and a positive attitude
  • Demonstration of good judgment, professionalism and discretion to handle confidential information. 
  • Available to work occasional weekends and evenings

Additional Valued Qualifications 

  • Preferred knowledge and experience with Blackbaud Raiser’s Edge and NXT
  • Preferred knowledge and experience with Microsoft Office mail merge functionality
  • Preferred experience with data entry

 

Work Environment & Physical Demands 

  • Able to work in close quarters in an open, busy office environment with no air conditioning
  • Able to sit at a desk for most hours of the work day
  • This position involves occasionally lifting 25 pound boxes of office supplies, moving to storage rooms, carrying items up and down stairs.
