Community of Vermont Elders (COVE) is a non-profit organization whose mission is to promote and protect quality of life for older Vermonters through dialogue, education, advocacy, and empowerment.

Summary of Position

COVE is creating this position to bring our finances and administrative tasks in-house. As such, the ideal applicant will be a self-starter who is excited to create and implement our internal systems. The Bookkeeper is responsible for processing incoming and outgoing finances, maintaining accurate records of finances, and generating reports for staff, board, auditors, and tax preparers to ensure responsible business practices. Administrative Assistant is responsible for ensuring smooth operation of COVE administrative systems. This person maintains up to date files and records, organizes office volunteers, and serves as the primary contact for the general public when contacting COVE offices.

General Duties

  • Assist with creating financial management system using QuickBooks for Non-profits
  • Process and record incoming and outgoing funds through QuickBooks
  • Maintain accurate and up to date records of all finances, liabilities, payroll, and benefits
  • Submit payroll and ensure accurate payments to personnel for benefits
  • Track grants, budget, and spending and communicate appropriately
  • Answer phones and respond/relay messages as appropriate
  • Process incoming and outgoing mail
  • Collaborate with accountant and auditors
  • Manage filing system and database
  • Maintain adequate supply stock to ensure smooth operations of COVE offices
  • Schedule, send agenda and materials, and take notes for staff, board, and other meetings
  • Support COVE staff, office, volunteers, and programming as necessary


  • Experience with financial management and QuickBooks a must
  • Grant management experience preferred
  • Attention to detail and accuracy a must
  • Demonstrated written and verbal communication skills, interpersonal skills
  • Excellent organizational skills and flexibility to work independently and within a team
  • Ability to exercise discretion, judgment, confidentiality and work with a degree of autonomy
  • Strong problem solving skills
  • Meet deadlines and complete tasks in a timely manner
  • Open minded/accepting of diverse & unique populations, ideas, life experiences, & situations
  • Working knowledge of QuickBooks, Google and Microsoft products
  • Experience with bookkeeping and administrative tasks a must

Salary and Benefits

  • Hourly position at 24 hours/week
  • Pay rate is $20-$23/hour depending on experience
  • Prorated benefits, 3% sIRA match, and paid time off
  • COVE offers a flexible work week, with a percentage of time spent at Montpelier office location


  • Reports directly to the COVE Executive Director
