Title: Administrative Assistant

Description: The Administrative Assistant serves a critical role on the NorthWoods administrative team, with responsibilities focused on day-to-day office operations, communications, and development. The Administrative Assistant works closely with the Office Manager and the Executive Director, and when needed, with the Web and Communications Specialist, as well as with the program coordinators, and occasionally with members of the board of trustees.

Hours: This is a permanent part-time position with a minimum of 20 hours/week and can increase to 25 hours/week as needed, especially during summer months.

Reports to: the Office Manager and the Executive Director.

Supervises: volunteers (on occasion)

Compensation/Benefits: $13-$15/hour, based on experience

Primary Responsibilities

General administration:

External communications – including fielding general inquiries, directing messages to appropriate staff, responding to administrative inquiries, and providing an office presence for emergency communications

Management of NorthWoods products (inventory and sales), via on-site sales and online store

Processing of reservations via Air BnB

Assist with bi-weekly payroll (gathering and compiling information as needed)

Quickbooks – know essentials of use and assist as needed to cover for other staff on vacations or emergencies

Processing of credit cards on PayPal, transferring and entering into Quickbooks

Mileage sheets to be updated monthly on server

Outreach:

Local marketing and distribution of NorthWoods publications (event posters, flyers, etc.) in surrounding communities as well as on site

Organization and implementation of cultural activities and events

Volunteer communication and coordination

Development:

Processing and mailing of bulk external communications (ie: appeals, newsletters, invitations)

Donation processing: manage and record accurate cash and in-kind donations in our database. Print, customize and mail acknowledgements and thank you notes in a timely manner.

Maintains donor database (NEON) and communicates with donors as needed

Support with grant writing and sponsorship

Manages raffles and silent auctions

Job Requirements & Expectations

Experience and proven success working in an office environment

Strong organizational skills and attention to detail

Excellent communication skills (written and verbal) and ability to work both independently and with others

High level of professionalism

Ability to meet deadlines, to use time effectively and efficiently, and to be thorough and accurate in completing assigned tasks

Experience with & enthusiasm for helping to continuously improve the efficiency and effectiveness of data and financial systems and overall administrative systems at NorthWoods. (Quick Books, Microsoft Office Suite, Online Donor Databases (NEON), Constant Contact, PayPal)

Willingness to help increase awareness of NorthWoods projects and their impacts among various stakeholders, including local communities; regional peer organizations; past, current and potential donors; grant-giving organizations; board of Trustees and staff.

Enthusiasm for increasing NorthWood’s revenues through increased product sales, events, or other innovative methods that also promote our programs and mission.

Willingness to develop new marketing efforts and systems for programs- including a marketing plan and system to generate increased revenues from the new bunkhouse.
