Membership Coordinator and Office Manager

Details: 1% for the Planet uses market forces to drive positive environmental change by inspiring companies to give. In recent years, we have sparked a fast growing movement anchored by companies that commit to giving at least one percent of their sales to the environment. Every year we certify that member companies complete their donations. We seek to build participation in the network through innovative marketing, new business development and outreach. For more than one year we have added at least one additional member company every day. Today we have nearly 900 member companies in 28 different countries that channel more than $12MM in annual contributions.

The MC/OC plays a very active role at the core of the organization. He or she is responsible for keeping the organization on top of its most fundamental commitments to members, recipients, employees, its Board and other stakeholders. The role is highly varied and includes programmatic responsibilities like overseeing the certification process, responding to incoming inquiries from members and processing new license agreements. There are also administrative components to the job that include procurement, managing financial data and administering health and retirement plans. Because of our rapid growth trajectory, the MC/OC is a growth-oriented position with strong potential for promotion within one year.

The MC/OC has to be highly detail oriented, adept at multi-tasking, and persistent enough to keep abreast of a highly involved certification process. He or she has to enjoy interacting with lots of different people on a daily basis. This job requires a very high level of commitment and the rewards are commensurate. Specific responsibilities include:

Serve as first line of communications with 1% member businesses

Respond to inquiries by phone and e-mail about 1% FTP from prospective members

Manage and run 1% member licensing program

Coordinate the completion and exchange of license agreements with new members

Process administration fees from new and existing members

Enter new member information into member database

Prepare and send welcome packages to new members

Post new member information on the 1% web site

Annually ensure all member company giving, $12MM+ in 2007 given to the environment

Take the lead on ensuring the timely certification of member giving. Note: the MC/OM is supported by the Program Assistant in completing the certification process

Help improve the systems required to support this process

Take the lead on procurement and management of physical office equipment including furniture, supplies, computers, accessories and inventory

Take the lead on procurement of services including phone, Internet, gas and electric

Serve as Plan Administrator for health and retirement plans as well as the primary contact for payroll processing

Responsible for bill payment, accounting, financial reporting, tax prep. and audit. Note: while these responsibilities are currently part of the role they may be outsourced in the future.

Prepare regular performance updates and reports

Help improve the systems that support this requirement

Administrative Requirements: Phones, mail, filing system, expense reports


The right person for this job will have outstanding attention to detail and world class organizational skills as well as excellent oral and written communication skills. He or she must also be very comfortable using and manipulating database systems. Being tech savvy is a big plus since there’s an opportunity to help us improve our member related processes through the use of technology. He or she should have several years of solid experience in a professional setting. A sense of humor and a natural inclination towards working with people makes all the difference.
